Manage sessions

Sessions can be easily managed by a meeting organizer.

Sessions can be changed (modified, deleted, cancelled, and reinstated) all the way from when the meeting is confirmed until the meeting has closed. No changes can be made after a meeting has closed or cancelled. The table below gives an overview of when modifications to sessions can be done:

Please note

A notification regarding the changes made to existing session(s) will be sent to the self-registered participants who have registered a participant as part of their delegation.


Modify sessions

Existing sessions can be modified as long as the meeting is not closed or cancelled. To edit a session:

  • In the Sessions and events tab, go to the session card OR click on a session title to go to the session details page
  • From the 3 dots actions button, select the option Edit
  • Make the desired modifications and click on the Apply button

Please note

Modifications can be made to:

  • session Title
  • session Description
  • start period (Start date-start time, End time, Timezone)
  • Session type
  • session Capacity (for face-to-face and hybrid sessions)
  • session
    • face-to-face Address
    • virtual meeting Provider, URL, Passcode, and Additional virtual meeting details
Make desired modifications and click on the Apply button

Delete sessions

Existing sessions can be deleted as long as the meeting is not closed or cancelled. To delete a session:

  • In the Sessions and events tab, go to the session card OR click on a session title to go to the session details page
  • From the More actions button, select the option Delete
  • A confirmation message is displayed stating that deleted sessions cannot be reinstated. Click OK to confirm or Cancel to abort the deletion

Click OK to confirm deletion or Cancel to abort the session deletion

Please note

Deleted sessions cannot be reinstated and are not visible in the session list or timeline anymore.


Cancel sessions

Existing sessions can be cancelled as long as the meeting is not closed or cancelled. To cancel a session:

  • In the Sessions and events tab, go to the session card OR
  • Go to the session details page
  • From the More actions button, select the option Cancel
  • A confirmation message is displayed stating that a reason for cancellation must be entered and the reason is displayed along with the status of the session in the session list, and that cancelled sessions can be reinstated until the meeting is closed.
  • In the warning pop-up displayed, enter a reason for cancelation, and click OK to confirm or click Cancel to abort the cancelation

Enter a cancelation reason and click OK to confirm. Click Cancel on abort the cancelation process.

Please note

Cancelled sessions are displayed as a part of the list of sessions in the Sessions and events tab. The cancelation reason can be viewed as well. It is possible to reinstate cancelled sessions.


Reinstate sessions

Cancelled sessions can be reinstated as long as the meeting is not closed or cancelled. To reinstate a session:

  • In the Sessions and events tab, go to the session card

    OR

  • Go to the session details page
  • From the More actions button, select the option Reinstate
  • Verify or modify required details and apply the changes
