Create session

Session timeline

Sessions can be created and managed (modified, deleted, cancelled, and reinstated) once a meeting has been confirmed, until the meeting has closed. Once the meeting has closed, new sessions cannot be created anymore.

Please note

  • It is not mandatory to create sessions within meetings

Session type

Three types of sessions may be created: 

  • Face-to-face session
  • Virtual session
  • Hybrid session

The type of session that can be created depends on the type of meeting created

  • Meetings of type: Face-to-face can have sessions of type: Face-to-face only 
  • Meetings of type: Virtual can only have sessions of type: Virtual only
  • Meetings of type: Hybrid can have sessions of type: Face-to-face, Virtual, or Hybrid

Create session(s)

Create face-to-face session(s)

Face-to-face sessions can be created for only face-to-face or hybrid meetings

  1. Create a face-to-face or hybrid meeting
  2. Confirm the meeting
  3. Got to the Sessions and events tab
  4. Click on Add session button
  5. Enter session title, and a description
  6. Select the date, start time and end time.
  7. Select the type of session as face-to-face.
  8. Enter a Capacity (optional)
  9. Verify or modify the face-to-face location address
  10. Click on the Appy button
Create face-to-face session

Create virtual session(s)

  1. Create a virtual or hybrid meeting
  2. Confirm the meeting
  3. Got to the Sessions and events tab
  4. Click on Add session button
  5. Enter session title, and a description
  6. Select the date, start time and end time.
  7. Select the type of session as virtual

    Note: Capacity field is unavailable for virtual sessions

  8. Enter online meeting details such as provider name, URL, and password (if any), and Additional virtual meeting details (optional)
  9. Click on the Appy button
Create virtual session

Create hybrid session(s)

  1. Create a hybrid meeting
  2. Confirm the meeting
  3. Got to the Sessions and events tab
  4. Click on Add session button
  5. Enter session title, and a description
  6. Select the date, start time and end time.
  7. Select the type of session as hybrid
  8. Enter Capacity for the face-to-face part of the session (Optional)
  9. Verify or modify the face-to-face venue address
  10. Enter online meeting details such as provider name, URL, and password (if any), and Additional virtual meeting details (optional)
  11. Click on the Appy button
